Getting paid should be the simplest part of running a field service business. You do the work, you send the bill, the customer pays. In reality, invoicing is where many tradespeople lose time, money, and patience. Handwritten invoices get lost. Spreadsheet templates break. And chasing payments becomes a second job.
Today we are launching a complete invoicing system inside Workslip. Create professional PDF invoices, email them to customers, and track payment status — all from your phone, right at the job site.
Why We Built This
We listened to our users. The number one feature request over the past three months was invoicing. Tradespeople told us they loved using Workslip for job management but were still switching to a separate app or paper to handle invoices. The goal was simple: make it possible to finish a job, collect a signature, and send an invoice without ever leaving the app.
How It Works
Create an Invoice in Under a Minute
From any completed job, tap the "Create Invoice" button. Workslip automatically fills in the customer details, line items, quantities, and amounts from the job record. Review the totals, add tax or a discount if needed, and the invoice is ready to send.
You can also create standalone invoices from the new Invoices tab for work that does not originate from a tracked job.
Professional PDF Design
Every invoice generates as a clean, branded PDF with your business name, logo, and contact details. Line items are displayed in a clear table with subtotals, tax amounts, and the total due. The design is professional enough for commercial clients and clear enough for residential customers.
Pro and Team plan users can add their own logo to invoices. Free plan invoices include a small "Powered by Workslip" watermark at the bottom.
Send via Email or WhatsApp
Once the invoice is generated, send it directly to your customer via email (with the PDF attached) or share it through WhatsApp. Both options are a single tap. No downloading, no switching apps, no copy-pasting email addresses.
Track Payment Status
Every invoice has a status: Draft, Sent, Paid, or Overdue. The Invoices tab gives you a filtered view so you can see all outstanding invoices at a glance. Tap any invoice to see the full details, resend it, or mark it as paid when payment arrives.
One-Tap Invoice from Job Completion
The most powerful workflow is the integration with job signatures. When a customer signs off on a completed job, Workslip now shows a "Create Invoice" button on the completion screen. Tap it, and every detail from the job — customer, line items, labor, materials — flows directly into a new invoice.
This means your invoice is sent within seconds of the job being completed, while you are still on-site. No more going home, remembering to invoice, and doing it two days later.
The faster you send an invoice after completing work, the faster you get paid. Research from FreshBooks shows that invoices sent on the same day as the work receive payment 30% faster than those sent a week later.
Invoice Editing
Made a mistake or need to adjust an invoice before sending? The full edit screen lets you modify every field: customer details, line items, quantities, prices, tax rate, discount, and payment terms. Changes are saved instantly and reflected in the PDF when you regenerate it.
Seven-Language Support
Just like job receipts, invoices are generated in the language your app is set to. Whether your customers speak English, Spanish, Turkish, French, German, Portuguese, or Italian, the invoice labels, dates, and currency formatting adjust automatically.
This is especially valuable for tradespeople working in multilingual markets where customers appreciate documentation in their own language.
